To submit a portfolio for an interim assessment, for example, you must first prepare a 'frozen' version (snapshot) of your portfolio or part of your portfolio in Portflow. You can continue working in your live portfolio while this snapshot remains frozen.
Making a snapshot
You can submit a completed portfolio in Brightspace, or share it via a showcase or assessment link.
1. Click on 'Create a snapshot' in the menu at the top.
* Click 'Next' if you do not wish to change your profile information. If you still wish to change this information, you can do so on the Portfolio home page.
2. Select which collections (including feedback and previous versions) you want to include in this snapshot. The description in the collection and all feedback will be included for all collections you include.
3. Select which evidence you want to include for each collection. All feedback and descriptions relating to the evidence you select here will also be included.
You cannot select which activities are included in the snapshot. All activities from a selected collection are included in the snapshot.
4. Enter a version name and description for this frozen version (snapshot) of the portfolio.
The version name and description will not be visible to your assessor in Brightspace once you have submitted the snapshot.
5. Click on 'view your snapshots' to view the frozen version (snapshot) of your portfolio.
Snapshots can no longer be edited once they are created.

Viewing snapshots
Saved portfolios can be viewed under 'My snapshots'. These versions can no longer be changed. If you want to change something in a saved version, you will need to create a new snapshot.
Deleting snapshots
Snapshot has not yet been submitted
If a snapshot has not yet been submitted in Brightspace and there is no active assessment link, you can delete this snapshot yourself.
1. To do this, go to ‘My snapshots’
2. Click on the three dots next to a snapshot
3. Select 'Delete this snapshot
Snapshot has already been submitted
If a snapshot has been submitted in Brightspace or if an assessment link is active, the snapshot can only be deleted by an administrator. To do this, you can submit a request to your teacher or to the key user of your programme. The key user can then contact a Portflow administrator to have the snapshot deleted. When submitting the request, please provide the ID of your snapshot.
1. Go to ‘My snapshots’’.
2. Click on the three dots next to a snapshot and click 'Delete this snapshot'.
3. You will see a pop-up with the snapshot ID. Copy this code.
4. Please provide this ID to a teacher or the key user for your programme. The key user can contact a Portflow administrator to have the snapshot removed.
Deleting a snapshot cannot be undone.
